Notice of Annual General Meeting

notice for AGM Jan 2012
To all members,

It is hereby notified that the Annual General Meeting of Bangladesh Canada Association of Calgary shall be held as under:

Date: January 22, 2012 (Sunday)
Time: 6.00 p.m.
Venue: Marlborough Park Community Center
6021 Madigan Dr. N.E., Calgary, AB T2A 5G9

The agenda of the A.G.M. is as under:

1. The management of Bangladesh Center, Bangla and Arabic school, Senior Members’ (50+) Corner and the Library should be under the management of the BCAOC.

2. Consideration and approval of the accounts of the BCAOC for the period of January 1, 2011 to 31st December 2011

3. Election of the new BCAOC Executive Committee for the term 2012-2014 will take place under the following existing Rules & Regulations, which are as under:

(a) The Election Commission will conduct the election of the Executive Committee of Bangladesh Canada Association of Calgary.

(b) Executive Committee consisting of at least 7 members or more will be elected on a panel based election system by registered voter members of Bangladesh Canada Association of Calgary by secret ballot.

(c) Panel election system means no individual will be allowed to seek election as an individual candidate for a position in the Executive Committee.

(d) An Executive Committee may serve for more than one consecutive term
(two years) if they are elected for another term.

(e) No office-bearer of the Executive Committee shall be allowed to seek election for the same post for more than two terms.

(f) Anyone interested to seek a post in the Executive Committee has to be a permanent resident of Canada and his/her subscription for membership of BCAOC for TWO preceding years must have been paid before submitting his/her nomination paper.

(g) A member seeking election for the post of President/Vice President/General Secretary/Treasurer must be a resident of Canada and reside in Calgary for at least TWO preceding years

(h) Nomination papers of the Panels of candidates, named after the leader of the panel must be submitted to the Election Commission within 10.00 a.m. to 1.00 p.m. of January 8, 2012 (Sunday) at the Bangladesh Center.

(i) A submitted nomination paper may be withdrawn by January 15, 2012.

(j) When the polling of votes starts, the ballot papers signed by at least two members of the Election Commission will be issued to the valid voters one by one, to cast their votes in the ballot box.

(k) Voters will write the name of the leader of the Panel they prefer to vote for on the ballot paper and will fold the paper and drop it in the ballot box.

(l) If a voter casts vote for more than one panel then that ballot paper will be cancelled.

(m) After the end of polling of votes, the ballot papers will be counted by the members of the Election Commission in presence of the candidates and the result of the Election will be declared by them in writing and announced as well.

(n) It is to be noted that the voter Members have to be at least 18 years old and a registered member of Bangladesh Canada Association of Calgary for the year of 2011 & 2012. Please be advised that registration for 2011 and 2012 can be done by January 22nd online at www.bcaoc.ca or at Bangladesh Center or at the day of the election on January 22nd at Marlborough Park Community Center.

All members are requested to attend the A.G.M. at the above date and time.
